Record Expenses with Shortcuts
The default action has no preset source or category; learn about run-time prompts, optional preselection, triggers, and troubleshooting.
Create the shortcut
- Open Shortcuts on iPhone and create a new shortcut.
- Add an action, search for “Numio,” and choose “Record Expense.”
- Choose a payment source. Its order follows the Numio asset home. When an account group has an available card, the card is shown instead of a duplicate account entry. An account entry is used only when no card is available.
- Tap Amount and choose “Ask Each Time,” or enter a fixed amount for a fixed expense.
- Choose a category. You can preselect it for a fixed-purpose shortcut, or let Shortcuts ask each time.
- Optionally configure date, note, and confirmation, then run the shortcut once to verify it.
Numio's default app shortcut has no fixed account or category. The selections above are stored only by a custom system shortcut that you create. Missing required values are requested at run time, and Numio does not maintain its own shortcut templates.
The main source label is the card or account name. The subtitle adds the institution, currency, and the last four card digits when available. A card in a comprehensive account may appear once per currency account; those rows represent different balances rather than duplicate data.
Running and saving
Shortcuts asks for any required value that was not preselected, including the amount, payment source, and category. When Confirm Before Saving is enabled, you must also approve the summary.
The expense is written to Numio only after the final “Recorded” result appears. If the flow closes after choosing a source, or never reaches category, confirmation, and success, no expense has been saved.
Recommended triggers
Run with Back Tap
If you do not want to open the app or say Numio every time, assign the shortcut to Back Tap:
- Finish a Numio expense shortcut in Shortcuts and give it an easy name such as “Log expense.”
- Open Settings → Accessibility → Touch → Back Tap.
- Choose Double Tap or Triple Tap, then select the shortcut you created.
Tapping the back of the iPhone now opens the amount prompt and confirmation flow.
Use an easy Siri phrase
Numio is pronounced “NEW-me-oh” (/ˈnuː.mi.oʊ/), but you do not need to repeat the product name when using Siri. Rename the shortcut to a natural phrase such as “Log expense” or “Log lunch,” then say “Siri, log expense.”

Useful setups
Quick entry from the Home Screen or Action Button
Preselect the payment source and category in a custom system shortcut, ask for the amount, then add the shortcut to the Home Screen, Lock Screen, or Action Button.
One shortcut per payment method
Create separate shortcuts for cash, transit cards, and credit cards so you never have to find the source at run time.
Automate a preset expense
After preselecting a source and amount in the system shortcut, combine the action with a personal automation. Keep confirmation enabled until the flow is proven reliable.
Data and troubleshooting
Numio records the expense locally on your device; it is not relayed through a Numio server.
- If the source list still contains old names or duplicate account entries, open Numio once, then reopen Shortcuts so the system can refresh its choices.
- If a selected source or category was deleted, disabled, or archived, edit the shortcut and select it again.
- If no expense appears in Numio, check whether the run reached the category prompt, confirmation, and final “Recorded” result. Nothing is written before success.
